The Deputy HR Manager will act as a first point of contact for Members, line managers and employees, offering advice and support in relation to a range of HR issues. They will also assist the HR Manager with project work, and assist the Recruitment Manager with the recruitment of support staff.

Primary duties and responsibilities are as follows:

Employee Relations

  • Offering advice and support in relation to all employee relations issues – including, but not limited to, performance/capability issues, disciplinary issues, and grievances/complaints
  • Managing the process for dealing with requests for flexible working arrangements effectively and efficiently
  • Coordinating appropriate HR activity to address sickness absence concerns
  • Coordinating relevant administration in relation to maternity and paternity (and other family) leave requests
  • Adopting an approach to employee relations that fits with the general aims of the business, balanced against employment law requirements and established best practice
  • Assisting with organisational design and development, to support the future growth of EIP
  • Maintaining their understanding of UK employment law, to develop existing processes and to provide appropriate guidance to Members, line managers and employees

Employee Engagement

  • Providing a point of contact for people at EIP to seek informal HR advice and support
  • Coaching Members and line managers in effective HR practices – including interview techniques, and conducting annual review and absence review meetings
  • Providing regular HR support and visibility to the UK regional offices
  • Acting as a positive force for HR at all levels across EIP
  • Monitoring EIP’s progress in relation to equality, diversity and inclusion, promoting events internally, and liaising with representatives from IP Inclusive (and other similar bodies)

Service Delivery and HR Information

  • Supporting the HR Manager in reviewing and developing HR policies, processes and procedures – to ensure that these are fit for purpose and aligned to the overall vision and values of EIP
  • Assisting the HR Manager in ensuring that policies, processes and procedures are properly understood and correctly implemented across EIP
  • Taking the lead on the administration of new joiners and leavers
  • Maintaining and developing current systems for recording and reporting HR information
  • Coordinating the annual review process for all employees
  • Assisting with the development and maintenance of the HR and payroll databases

Recruitment and Selection

  • Working with the Recruitment Manager and line managers to identify the competencies for each role, and how these will be assessed
  • Conducting candidate interviews with line managers for roles within the support departments with a focus on testing agreed competencies
  • Ensuring effective interview practices are in place, with a focus on consistency and legal compliance – but with the ultimate aim to select the best person for each role.
  • Supporting the Recruitment Manager to ensure full compliance with EIP’s recruitment processes
  • Assisting with the process of securing permission to work in the UK, for successful overseas applicants (where appropriate)

Overall duties and responsibilities:

Billings Process

  • Overseeing litigation accounts including:
  • Assisting in the preparation of litigation cost budgets;
  • Monitoring of compliance with litigation budgets; and
  • Assisting with preparation of statements of costs (interim and final).
  • Liaising with partners in the firm’s London and Dusseldorf office to prepare and finalise invoices.
  • Communicating with clients.
  • Handling and processing of incoming third party invoices and expenses.
  • Liaising with the firm’s accounts department regarding the preparation of bills, payment of invoices.
  • Management of fee earner travel and expenses.
  • Management of disbursements.
  • Keeping up to date with changes in relevant procedures.

Administration and Litigation Support

  • Internal document management.
  • External document management.
  • Preparation of papers for the EIP Legal solicitors, external counsel and court.
  • Preparation of papers for external use (for example, court, barristers, witnesses etc.).
  • General litigation assistance (including participation in disclosure exercises, research and attending internal meetings).
  • Checking, finalising and sending correspondence.
  • Fielding calls where appropriate and taking accurate and detailed telephone messages.
  • Interfacing with EIP internal teams to open new client files.
  • Good diary management (e.g. arranges meetings, conference calls, etc.).
  • Assisting other paralegals in the team where required.
